1) Overview

This Privacy Policy explains how Media Minds Nexus LLC (“Media Minds Nexus,” “we,” “us,” “our”) collects, uses, shares, and protects personal information when you visit our websites, communicate with us, or use our services and hosted platform features (voice AI, call/SMS automation, the “Platform”).

2) Categories of Data We Collect

  • Identifiers & contact data: name, email, phone, address, company, account IDs.
  • Commercial data: purchases, subscriptions, invoices, quotes, support history.
  • Payment data: processed by our payment processor (e.g., Stripe). We do not store full card numbers.
  • Communications: emails, chat messages, and (for SMS programs) content such as STOP/HELP requests.
  • Usage/Device data: IP address, device/browser type, pages viewed, timestamps, cookies/analytics, referral URLs.
  • Client-provided customer data: contact details and interaction logs you lawfully share so we can deliver your project or operate the Platform for you.

3) Sources

We collect data directly from you, automatically from your devices and usage of our sites/Platform, and from service providers/partners (hosting, analytics, communications, payment, CRM, support).

4) Purposes of Use

  • Provide, configure, and improve our services and the Platform;
  • Process payments, prevent fraud/abuse, and collect amounts due;
  • Communicate about accounts, features, security, and support;
  • Send marketing (email/SMS) with consent where required; and
  • Comply with law, enforce terms, and protect our rights and users.

We rely on one or more of: consent, contract performance, legitimate interests (e.g., security, fraud prevention, service improvement), legal obligations, and the defense of claims.

6) Sharing of Data

We share personal data with:

  • Processors/service providers acting on our instructions (e.g., Stripe, hosting, telephony, email/SMS, analytics, support, CRM);
  • Professional advisors (legal, accounting) and as required by law or to protect rights/safety; and
  • Business transfers (merger, acquisition, financing, or sale of assets).

We do not sell personal information. We do not “share” personal information for cross-context behavioral advertising. If our practices change, we will update this Policy and provide the required opt-outs.

7) Cookies & Tracking

We use cookies and similar technologies for essential site functions, analytics, and (if enabled) advertising. You can manage preferences via our cookie banner or browser settings. Where required, we honor Global Privacy Control (GPC) signals as an opt-out request for applicable processing.

8) Platform Privacy Notice (Voice/SMS)

When you use our communications Platform (e.g., voice AI, call/SMS automation), we process additional data to operate the service:

  • Account & usage data: login identifiers, IP/device info, timestamps, settings, event logs.
  • Communications metadata: calling/recipient numbers, times/duration, routing info, delivery status, limited carrier responses.
  • Content you choose to process: voicemails, recordings, prompts, notes, and derived transcripts if features are enabled.
  • Purposes: deliver and improve the Platform, route/deliver communications, prevent fraud/abuse, comply with carrier/legal obligations, provide support, and bill usage.
  • Our role: For our own site/accounts/marketing we act as a controller. For customer contact data and communications you upload or generate in the Platform we act as your processor/service provider and process such data only on your documented instructions.
  • Recording & transcription: If you enable these features, audio and derived transcripts are processed to deliver the feature. You are responsible for obtaining legally required notice/consent from participants (see Terms §Recording & Transcription Consent).

9) SMS Program Privacy (A2P/TCPA/CTIA)

  • We store proof of consent (opt-in time, source page/form, IP/user agent) and program interactions (e.g., STOP/HELP requests) to demonstrate compliance.
  • We use your number only for messages you agreed to receive as described at opt-in. Msg & data rates may apply. Msg frequency varies. Reply STOP to cancel; HELP for help.
  • We do not share your phone number with unaffiliated third parties for their own marketing.

10) Email Marketing (CAN-SPAM)

Marketing emails include an unsubscribe link and our physical mailing address; we honor opt-outs within 10 business days.

11) Data Security

We apply layered administrative, technical, and physical safeguards appropriate to the sensitivity of data. Examples include HTTPS/TLS encryption in transit, provider-level encryption at rest where supported, least-privilege access, MFA on administrative accounts where available, secure secrets storage, and routine patching. No method is 100% secure.

12) Data Retention

  • Account & billing data: life of the account and up to 7 years thereafter for tax/legal reasons.
  • Consent logs (SMS/calls): kept at least 4 years to evidence compliance.
  • Call recordings & transcripts (if enabled): up to 180 days by default (or as configured in your account), then deleted or archived securely.
  • Operational logs (delivery status, carrier responses): typically 12–24 months for troubleshooting and abuse prevention.

You can request deletion of Platform data where feasible; some records may be retained as required by law or to protect our rights.

13) Your Privacy Rights (US & International)

Depending on your location, you may request access, correction, deletion, portability, restriction/objection to certain processing, or to appeal a denied request. Submit requests to privacy@mediamindsnexus.com. We may verify identity before responding.

Sale/Sharing. We do not sell or share personal information for cross-context behavioral advertising. If that changes, we will provide required notices and opt-out mechanisms (including GPC signals).

Children. Our services are not intended for children under 13, and we do not knowingly collect their data.

14) Subprocessors & Third-Party Services

To operate the Platform we use third-party providers such as cloud hosting, telephony carriers, speech/AI vendors, analytics, and support tools. We enter data-processing agreements with these providers and remain responsible for their performance. An up-to-date list of key subprocessors is available on request at privacy@mediamindsnexus.com. We may update providers from time to time.

15) International Data Transfers

Where personal data is transferred across borders, we use appropriate safeguards (e.g., Standard Contractual Clauses and supplementary measures) as required by law.

16) Data Processing Addendum (DPA)

Where required by law, we offer a DPA governing our processing of personal data on your behalf as a processor/service provider. Contact privacy@mediamindsnexus.com to request our DPA.

17) Changes to This Policy

We may update this Policy from time to time. Material changes will be posted with a new “Last Updated” date and apply going forward.
